The editorial workflow — from draft to publication

What a good editorial process looks like: roles, approval, and why a workflow prevents chaos in multi-author newsrooms.

When several people write and publish content without a clearly defined process, chaos arises sooner or later — duplicated content two people independently write on the same topic, mistakes nobody checked before publication, or a text waiting for days for someone free to review and approve it while the topic loses relevance.

What a well-defined workflow looks like

The standard flow: draft (the author writes the first version) → proofreading (someone checks language and accuracy) → approval (the editor gives the final "yes") → publication (the text becomes publicly visible). Each stage has a clearly defined owner responsible for that step, and the status of every text is visible to the whole team at any moment.

Why such a process matters

Roles with clearly defined permissions prevent someone from publishing unchecked or inaccurate content directly to the public without anyone's review.

The history of all changes enables reverting to an earlier state if something breaks or someone accidentally deletes part of a text that should have been kept.

The marketing team and the newsroom can work fully in parallel, on different texts simultaneously, without collisions and without fear that someone else will meanwhile change the same text.

New team members quickly understand where each text is in the process, without asking colleagues verbally "has this been approved yet".
